
Ordering Terms and Conditions
These Terms and Conditions govern all quotations, sales, and the supply of goods and services by IT Accessories (“we,” “our,” or “us”) to our clients (“you” or “the client”). By placing an order with us, you agree to be bound by these terms unless otherwise varied in writing by mutual agreement.
Placing Orders
Orders may be placed through the following official channels only:
- Our company website
- Telephone call
- Email or official purchase order
Orders will only be deemed valid once confirmed in writing by IT Accessories. All goods and services will be supplied strictly in accordance with the specifications, quantities, and delivery terms agreed upon at the time of confirmation.
Order Processing Time:
- All orders are processed the same day.
- Orders made beyond 3:00 PM (Kenyan time) will be processed and are likely to be dispatched the next business day.
- Typical order processing is within the same day and takes a maximum of 2 days, depending on stock availability and logistical factors.
- IT Accessories reserves the right to decline any order that does not meet our requirements or falls outside our supply capability.
Pricing
Unless otherwise stated, all prices are quoted in Kenyan Shillings (KES) and are exclusive of VAT, delivery, and installation charges (if applicable).
Prices are subject to review and may change without prior notice due to market fluctuations, supplier adjustments, or foreign exchange variations.
The final confirmed price will be communicated and acknowledged before order processing.
Quotations provided are valid only for the period stated therein, typically 30 days from the date of issue, unless extended in writing.
Payment Terms
Cash Sales:
Full payment must be made before delivery or collection.
Credit Sales:
Clients with approved credit terms must settle all invoices within the agreed credit period.
Late Payments:
May attract interest or penalties as determined by IT Accessories. Persistent late payments may lead to withdrawal of credit facilities and suspension of services.
Payments shall be made via approved methods communicated by IT Accessories.
Proof of payment must be shared to validate processing.
Delivery
We offer delivery services across Kenya and the East African region.
Delivery timelines will be communicated at the time of order confirmation and are subject to stock availability and logistical conditions.
Delivery fees, where applicable, will be agreed prior to dispatch.
Risk of loss or damage passes to the client immediately upon delivery or collection, even if installation is pending.
IT Accessories is not liable for delays caused by factors beyond our reasonable control, including transport disruptions, supplier delays, or force majeure events.
Product Availability
All orders are subject to stock availability at the time of confirmation.
If goods are unavailable, clients will be promptly notified and offered:
- An alternative product of equal or higher specification (subject to approval), or
- An updated delivery schedule.
IT Accessories reserves the right to partially fulfill orders where agreed.
Returns & Exchanges
Returns are accepted only under the following conditions:
- Goods supplied are defective, or
- Incorrect goods were delivered compared to the confirmed order.
Clients must report such issues within 5 business days of delivery.
Returned goods must be:
- Unused and in their original packaging, and
- Accompanied by proof of purchase (invoice or receipt).
Once verified, IT Accessories may, at its discretion:
- Replace the goods,
- Offer an exchange, or
- Provide a refund (for eligible cases).
Refunds:
- Product refunds are processed within 14 days from the date of approval.
- All refunds are subject to inspection and verification of returned goods.
- A restocking fee of up to 50% of the product value may be charged, depending on the product condition and reason for return.
Note: Custom or special-order items (including configured, branded, or imported-on-request products) are strictly non-returnable and non-refundable.
Order Cancellations
Standard orders may be cancelled only before dispatch or collection.
Once goods have been dispatched, the order becomes binding and non-cancellable.
Custom or special orders cannot be cancelled once processing or procurement has commenced.
Warranties
Goods supplied by IT Accessories are covered by the manufacturer’s warranty, where applicable.
Warranty claims are honored only if goods have been used as per manufacturer guidelines and have not been tampered with, misused, or physically damaged.
IT Accessories does not provide additional warranties beyond those issued by manufacturers unless expressly stated in writing.
Limitation of Liability
IT Accessories shall not be liable for:
- Any indirect, incidental, or consequential damages arising from the supply or use of goods.
- Loss of profits, data, or business opportunities due to product failure or delivery delays.
Our maximum liability is limited to the value of goods supplied under the specific order in question.
Governing Agreement
These terms constitute the general terms of trade between IT Accessories and its clients. They may be supplemented or modified by specific agreements depending on the nature of the order (e.g., service contracts, annual supply agreements). In the event of a conflict between these terms and any special agreement, the latter shall prevail.
